Background

Each year a district schoolboard representing a large area in southern USA, receives hundreds of phone calls requesting bookings for it's summer camp programs

The schoolboard manages a large list of members, and coordinates bookings by receiving calls from their parents or guardians. Booking details are typically written down or emailed to the booking coordinator who checks availability against her spreadsheet, ensuring that no classes are over-booked, then updating the spreadsheet to finalize each booking.

The Solution

Thought Cloud was able to replace the booking spreadsheet with a SharePoint list, a members list, and a Power Apps booking interface. The Power App was made available to all booking agents.

A booking agent could search for a member, select them, choose a program, and book based on availability.

The system would also perform real-time checks on availability in case something changed in the time that they agent was trying to make a booking.

The Result

Using the Power Platform, Thought Cloud was able to produce a booking app in just one week, streamlining the booking process. This resulted in:

  • reduced booking times due to real-time class availabilities information
  • prevention of accidental over-booking
  • reduced stress for the booking manager
  • a smoother end-user experience
  • immediate confirmation for parents
